What you'll do... :

As a District Operations Coordinator, you’ll be responsible for all operational and administrative activities for company-owned tax offices and may support multiple District General Managers (DGMs) in a matrix management structure. You’ll need a strong ability to deliver executable results that will enable the company to achieve strategic business objectives.

The DGMs will look to you for consistent and effective weekly communication during scheduled 1:1s. This communication should include updates on shared goals including but not limited to: Hiring and onboarding of associates (Ready to Serve (RTS)), 8-week breaks, availability, vacation incentive, associate’s ability to work in multiple locations, real estate projects, financial reviews, supply orders, facility issues, visibility items, office readiness, classrooms, staffing by office (hiring tracker review) and pre-season staffing.

Day to day, you'll...

  • Hire and provide leadership for assigned Operational Administrative Assistants and Operations Specialists by setting and managing against performance goals, coaching, and providing development opportunities

  • Collaborate with DGM to ensure communication to TLs is timely on relevant issues.

  • Provide value-add participation and updates on operations tasks/initiatives at weekly TL meetings personally or lead a team member to present the materials in-person, every week, for each each district.

  • Proactively communicate issues to CSM and affected DGMs including but not limited to: planogram changes, violation of policies and procedures, potential security breaches, and Personnel Action Form (PAF) and Separation Review Form (SRF) status.

  • Partner and communicate with Lead Field Systems Technician (LFST) including, but not limited to office readiness planning, temporary location set up and tear down, real estate projects (including storage of equipment during construction), and classrooms.

  • Partner and communicate with PSM for RTS activities including but not limited to hiring events, Town Halls, RTS status, and Gateway leads.

  • Partner and communicate with CSC associates including but not limited to manual hire process, PAFs, SRFs, financials, Coupa orders, vendor set-up and payments, taxes, training (ITC and UL), and technology.

  • Plan work for office readiness ensuring that deadlines, budget, associate availability, and geography are taken into consideration. Leads team to update Enterprise Workflow (EWF) when work is completed.

  • Partner with CW on upgrades, refreshes, and renovations including timely completion of punch lists. Ensure pictures of completed real estate projects are updated timely in Reflex or the real estate app. Ensure trash and utilities are set up and terminated in a timely manner for all real estate projects.
